How should I choose my respondents?

The choice of respondents is crucial for the quality of the feedback. It is advisable to choose people who have been working with you for a while and who know how you cope with various tasks and problems (we recommend a threshold of 3 months, while 6 months is recommended). We suggest that you discuss the list of your potential respondents with your line manager or your HR manager. You may want to choose people who have a different profile than yours, so as to receive richer feedback.

Can people from outside my organisation be my respondents?

Yes, the 360 degree system is available online on the Internet, so people from the outside can get access to it. If you intend to invite somebody from outside your company to be your respondent, you have to inform him/her about the nature of the 360 degree feedback. Then, you can add his/her email address to the list of your respondents.

What are the expectations towards the respondents?

Respondents should answer all questions openly and honestly. Their responses to open-ended questions should be meaningful , constructive and clear. It is recomended not to hurry when filling out the questionnaire. Our experience indicates that filling out a questionnaire takes 15-20 minutes on average.

Who receives the report?

Before you start the 360 degree feedback process, you have to decide who the report with the feedback results will be sent to. Please consult your line manager or your HR Manager. On your personal page you can submit 3 email addresses of people who are to receive your report.

If the system is configured to send your report to you only, you will have to decide whether and how you would like to share it with your line manager or other people. Keep in mind that the quality and the value of your development plan will be enhanced if you get other people involved.

Do I have to show my report to my superior (e.g. my line manager)?

No, although we would recommend that you do. You may need support from your line manager in order to build a well designed and properly funded personal development plan (PDP)

Will my 360 degree feedback be used for my performance appraisal?

The 360 degree feedback is a personal development tool and it should not be used in performance apraisals. However, how the results of your360 degree feedback will be used depends on the HR policy of your company. Please contact your HR Department for more information.

What about my privacy and confidentiality of my data?

The operator of this online tool guarantees the privacy and security of all data. No one from inside or outside your company will ever have access to the feedback you submit or receive. The data in all feedback reports are anonymous and there is no way to learn "who said what". A feedback report will only be generated if at least four respondents have submitted their feedback.

How can I check if all my respondents have submitted their feedback?

Once you have defined a list of respondents, you will receive a link to your personal 360 degree page, where you will be able to track the response rate. You will also be able to send reminders to those who have not submitted feedback yet (the system will not disclose their identities to you, though).

How often should I do a 360 degree feedback?
  • Not earlier than after the first two years if you are new to your company
  • After 9 - 12 months if you are in a new job in your company
  • Repeat your 360 degree at least every 18 - 36 months
  • Line managers are advised to do a 360 degree feedback every year
I don't have access to the 360 degree system from my PC at work!

Your PC or Mac or UNIX workstation must be conected to the Internet, and you have to use an XHTML browser (e.g.: Firefox 1.5 or higher, Opera 9.0 or higher, or MS Internet Explorer 6.0). Some of the tool's pages require that JavaScript is turned on (if you are not authorised to turn JavaScriot on, contact your system administrator).

I have been asked to submit feedback about a preson I do not know. What should I do?

If you cannot say anything meaningful about a person, simply ignore his/her request. You can talk to this person and ask why he/she has chosen you as a respondent.

What should I do if I do not know a person well enough to submit feedback or if I simply do not want to do it?

You do not have to do it, participation in a 360 degree project is noncompulsory. The fact that you have not submitted feedback will not be disclosed to anybody. Do not be alarmed if you receive a reminder to submit feedback - this is done by the system automatically. We recommend that you inform the person who has invited you to partticipate that you cannot do it and explain the reasons why.

Can I be sure that nobody will ever see the feedback I have submitted?

Nobody will ever see your feedback, with the exception of your answers to open-ended questions - these will appear in the respective part of the feedback report. Even so, nobody will be able to identify you as author of those answers, unless your style is so specific as to allow your identification. This 360 degree application is managed by a third party - dk Career Online. All data from the 360 degree questionnaires are being sent directly to their servers, where the are immediately aggregated and archived. No other person than the system administrator has access to these data, but even the admin cannot trace data back to the user.

Do other people have access to my private page on the 360 degree website?

No. The only way to access your personal page is through the unique link you have received in your email after you had been chosen as feedback receiver. Therefore you must not forward this email or disclose this link to others.

Is the 360 degree feedback tool available in other languages than English and Polish?

No, but you can contact the operator if your company requires that the tool's is available in another langiage. We will be happy to give you a quote.
